Executive Assistant

For one of our clients, a trading house active in energy, we are seeking to recruit an Executive Assistant. The successful candidate will contribute to the smooth functioning of the executive office and help facilitate efficient communication and coordination within the organization with high-standards delivery and management.

Your mission

  • Handle sensitive and confidential information with discretion and professionalism
  • Act as the primary point of contact between the CEO and internal/external stakeholders
  • Manage the CEO's schedule, appointments, and travel arrangements
  • Prioritize and screen emails, phone calls, and correspondence
  • Organize and coordinate executive meetings, conferences, and events
  • Prepare agendas, take minutes, and distribute relevant materials
  • Maintain an organized filing system for confidential documents and sensitive information
  • Draft and edit correspondence, memos, and documents on behalf of the CEO
  • Facilitate effective communication within the executive team and across departments
  • Coordinate complex domestic and international travel itineraries
  • Manage visa arrangements and logistics for business trips
  • Assist in the planning and execution of special projects and initiatives
  • Collaborate with other departments to ensure timely completion of assigned tasks

Your profile

  • Proficiency in office software (Microsoft Office Suite, Google Workspace, etc..)
  • Bachelor's degree in business administration, management, or a related field
  • Previous experience in a high-level executive assistant role, preferably in a trading or energy-related industry
  • Exceptional verbal and written communication abilities
  • Ability to maintain confidentiality and handle sensitive information
  • Experience working in a fast-paced and dynamic environment
  • Proactive and forward-thinking mindset
  • Fluent in French, English and German preferred (written and spoken)
